Privacy Policy

Swoop (askswoop.com) is operated by askhumans (“we”). Swoop lets a company ask its own people a question and get their answers back as voice memos, merged into one answer. Your employer (the “workspace”) decides who is in it and what tools are connected; we process data on their behalf.

Account. Your name, work email, department, role, the expertise topics you or your admin entered, a short interview about what you know (used only to route questions to you), and a profile picture if you upload one.

Questions and answers. Questions people ask, the voice memos recorded in reply (the audio file and its transcript), one-line summaries of those memos, files attached to them, replies in a thread, and the merged answer we write from them.

Connected tools. If your workspace admin connects a tool — PostHog, Google Analytics, Stripe, HubSpot, Salesforce, Intercom, Google Reviews, a spreadsheet or an MCP server — we store the credential you gave us (an API key, a service-account key, or an OAuth refresh token) and the metric series we read from it: numbers over time, never your customers’ records. Access is read-only. Nothing is written back.

Notifications. Whether you want email, and if your workspace connects Slack, your Slack user id so we can DM you.

Billing. Payments are handled by Stripe. We keep your Stripe customer and subscription ids; we never see or store card numbers.

Operational. Sign-in codes and sessions, email delivery events (bounces, complaints), and the logs any web service keeps: IP address, browser, pages requested, timestamps.

We do not use cookies for advertising, and there are no third-party trackers on the product.

• To route a question to the people most likely to know, using the department, role and expertise index.
• To transcribe and summarize memos and write the merged answer, so the asker can read nine answers as one.
• To notice when a connected metric moves in a way worth explaining, and suggest a question about it.
• To produce a spoken briefing (a “podcast”) from panels you select.
• To tell you when you have been asked something, by inbox, email or Slack.
• To bill your workspace for the seats and panels it uses.
• To keep the service secure and working.

We do not sell your data, and we do not use your questions, memos or metrics to train any model — ours or anyone else’s.

Every model call in Swoop — summarizing a memo, merging answers, writing a podcast script, suggesting a question about a metric — runs on an open-weights model on Amazon Bedrock. There is no code path from Swoop to OpenAI, Anthropic or any other foundation-model vendor, and none of them ever receives your data.

By default that Bedrock is in our AWS account. On the Enterprise plan your admin can hand us an IAM role in your own AWS account, and every model call for your workspace then runs there. We do not train models on your content in either case. Live dictation while you record uses your browser’s built-in speech engine.

If your workspace admin connects Google Analytics or Google Reviews by signing in with Google, we request read-only access (the analytics.readonly and business.manage scopes) and keep a refresh token so we can read the property or location you chose on a schedule. We read metric totals by day (sessions, users, conversions, bounce rate; or your rating and review count). We do not read individual visitors, individual reviews’ text, or anything from any other Google product.

Swoop’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google data only to provide the feature you connected it for, we do not transfer it to anyone except as needed to run the service, we do not use it for advertising, and no human at askhumans reads it except with your permission to fix a problem or as required by law. Disconnecting the source in Settings deletes the token immediately; you can also revoke it at myaccount.google.com/permissions.

Every panel starts private to the person who asked. Only they see the memos and the merged answer, and only they can open it up — to the people who contributed, or to the whole workspace. People who were asked see the question and their own answer. Workspace admins can connect tools and manage people but cannot read private panels.

We use these providers to run the service. Each receives only what its job requires.

• Amazon Web Services (United States) — hosting, database, file storage for audio and attachments, Bedrock for model calls, Polly for spoken briefings, SES for email.
• Stripe — payments and invoices.
• Slack — only if your workspace connects it, to deliver notifications.
• Google, PostHog and the other tools listed on our integrations page — only if your workspace connects them, and only to read the metrics you point us at.

We disclose data if the law requires it, and we will tell your workspace admin unless we are legally prevented from doing so. If askhumans is acquired, this policy continues to apply to the data we hold.

Your content stays as long as your workspace exists. On the Free plan, panels older than the plan’s window are locked — hidden, not deleted — and return when the workspace upgrades. Archiving a panel hides it; nothing is deleted by archiving. Disconnecting a tool deletes its credential and the signals raised from it. Sign-in codes expire in minutes; sessions when you sign out.

When a workspace is closed we delete its data within 30 days, except records we must keep for tax and accounting.

Data is encrypted in transit and at rest. Credentials for connected tools are stored server-side and never returned to the browser. Access inside askhumans is limited to the people who operate the service, by named IAM identities. Voice recordings and attachments are served through short-lived signed links. If we learn of a breach affecting your data, we will notify your workspace admin without undue delay.

You can see and edit your profile in the product. Your workspace admin can remove you, which removes your future routing; memos you already recorded stay attributed to you on the panels they answered, because the people who asked relied on them. To access, export or delete your personal data, or to object to how we process it, write to zak@askhumans.com; we answer within 30 days. Because we process most data on behalf of your employer, we may direct the request to your workspace admin.

If you are in the EU, UK or Switzerland: askhumans is a processor for workspace content and a controller for account and billing data; transfers to the United States rely on standard contractual clauses. You may complain to your local supervisory authority.

Swoop is a workplace tool and is not directed at anyone under 16. We do not knowingly collect data from children.

We will post changes here with a new effective date, and tell workspace admins by email about any change that reduces your rights. Continued use after that date means you accept the new version.
